Communications

About the Team

The communications department develops and manages all written communications for Soonercon, including social media, email campaigns, website copy, public relations and more.

Convention Committee Secretary

Responsibilities:
Takes notes at Con Comm meetings and maintains database of meeting communications. Works with Director of Communications and Soonercon Convention Chairperson to create and publish agendas for meetings.

Copywriter

Responsibilities:
Write copy for website, ads, press releases, social media and other collateral as needed. Understand and be a subject matter expert on our voice, style, and core messaging.

Experience:
One year professional experience or writing-focused degree preferred.

Social Media Assistant

Responsibilities:
Assists with creation, scheduling and posting to Soonercon Instagram, Facebook and/or Twitter profiles. Must be familiar with Instagram, Facebook and/or Twitter. Reports to the Social Media Manager.

Social Media Assistant – Onsite

Responsibilities:
Aid in social media coverage during the convention weekend. Take photos and video with your mobile device and upload to social media accounts with copy to go with the posts. Knowledge of Facebook and Instagram required, Twitter preferred. Reports to the Social Media Manager

Social Media Manager

Responsibilities:
Manages and maintains the Soonercon social media plan and schedule. Works with the marketing team and lead photographer to develop artwork and content for our social media channels.

Supervision:
This position supervises the social media assistant roles.

Finance

About the Team

The finance department manages all monies for Soonercon. We are responsible for purchases that make the convention, and all the funds the con generates. We report to the FSCOK Treasurer and work with them to maintain accurate and thorough records of income and expenses.

Purchasing Coordinator

Responsibilities:
Researches products and collects product descriptions for various member perks.
Trains directors, managers and area supervisors on proper purchase order procedures in accordance with FSCOK financial policies. Manages and files purchase orders for the event. Coordinates w/ Soonercon Treasurer and Director of Registration for all item purchases. Works with Director of Operations to inventory all purchased items. Researches Charity item donation fair market value information in collaboration with Charity team (as needed).

Soonercon Sponsorship Coordinator

Responsibilities:
Embarks on approved capital and operating projects in support of developing Soonercon programming and reach. Helps write grants for Soonercon and FSCOK and maintains deadline calendar. Reviews donor and sponsor databases and generates applicable reporting as needed. Reaches out to businesses for donations for Soonercon event. Tracks sponsorship requests and organizes paperwork. Follows the Chief of Economic Development’s direction on cultivation and donor recognition. Works in partnership with various committee persons such as Soonercon Fundraising Chair, Soonercon Convention Chair, Soonercon Charity Manager, et al. Connects convention sponsors to the Con Comm and FSCOK board. Oversees completion of paperwork for all sponsor packets and advertising sales. Collects con swag and assembles sponsor packets. Ensures any banners or signage for sponsors are correctly placed and displayed at convention.

IT and Software Development

About the Team

The IT and Software Development department develops and maintains: custom software, on site networking, data reporting and analysis for the organization.

Business Analyst

What is the job?
The Business Analyst will analyze complex cross functional business processes and define integrated requirements by consulting and building relationships with distributed teams and clients.

How much will you be expected to work?
We generally have around 4 hours a week of work. At times, this fluctuates and can be more or less. The ideal candidate will be available to work autonomously, and follow agile methodology. We are willing to train on any skills related to reporting and/or workflow procedures.

CMS Environment Specialist

What is the job?
The CMS Technical Specialist plays an integral role in our front facing customer experience. Reporting to the Director of IT, this role contributes to our customers’ success by being the subject matter expert on the configuration of our Content Management System (CMS). In addition, this role will export information regarding form submission of the various forms our CMS maintains.

How much will you be expected to work?
We generally have around 4 hours a week of work. At times, this fluctuates and can be more or less. The ideal candidate will be available to work closely with the Director of IT, and follow agile methodology. We are willing to train on any skills related to reporting and/or workflow procedures.

Education:
Associate (Preferred)

Node Developer

What is the job?
The Node Developer position will invest a good portion of their time close to the technology, coding, and developing software. They will also closely collaborate with our architects, analysts, and designer, with a focus on supporting new feature development. This position contributes to defining and estimating timelines, costs, and feasibility for application development projects. Provides proof-of-concept or minimally viable product prototypes that set examples regarding new technology or design patterns. Periodically reviews code from scrum development teams. Partners with Director of IT for design and review of products with respect to adherence to standards, enterprise models, strategies, and best practices.

Soonercon Website Developer

What is the job?
This is a full-stack developer position. Your job will be to assist on Full WordPress Builds and Fix It Jobs. We are looking, specifically, for developers who can problem solve and create solutions. We heavily utilize Divi for themes and any experience with Divi would be a plus.

Marketing

About the Team

The marketing department develops art assets for marketing and convention operations, organizes marketing efforts at local events, and facilitates vendor registration for Exhibitor Hall, Artist Alley, and Club areas. Major marketing projects include the Soonercon and FSCOK websites, maps and diagrams for the convention space, social media graphics, and all print marketing collateral.

Club Coordinator

Responsibilities:
Primary point of contact for Club representatives. Works closely with the Programming teams to facilitate panelists and volunteers for program events throughout the weekend, processes applications, registration, and payment for club spaces. Communicates the check-in process for clubs and their members as well as expectations for convention members and club area participants. Communicates space needs to club reps well in advance of convention related to props and positioning within club space. Checks in club representatives on Thursday afternoon/Friday morning of convention and periodically checks in with clubs to help resolve issues throughout the weekend.

In addition to the responsibilities outlined above, this position is critical for maintaining key relationships with stakeholders in the fandom community. In-person social skills and online communication skills are required for this position.

Supervision:
This position supervises volunteers in the convention work area.

Exhibitors Coordinator

Responsibilities:
Primary point of contact for Exhibitors and Artist Alley vendors. Works closely with the Marketing, Communications, Programming and Registration teams to facilitate vendor application, Eventbrite registration and payment for vendor spaces. Helps facilitate refunds for vendor space when needed. Works closely with the design team to create accurate and safe floor plans for all exhibitor areas and communicates final requirements for pipe/drape and table setup needs with appropriate outside vendors and/or FSCOK finance team members.

Is responsible for communicating with Pipe and Drape vendor onsite and communicates Artist Alley table positioning to teamsters. Checks in Exhibitors and Artist Alley vendors on Thursday afternoon/Friday morning of convention and periodically checks in with vendors to help resolve issues throughout the weekend. Collects sales tax forms from Exhibitors and Artist Alley vendors during Sunday packout.

Supervision:
This position supervises volunteers in the convention work area.

Graphic Designer

Responsibilities:
Collaborates closely with the Marketing and Communications teams to produce marketing materials, website graphics, publications for use onsite and signage for Soonercon and FSCOK. Design projects may include social media graphics, flyers, posters, coroplast signs, banners, floor graphics, billboards, convention program book, convention schedule, and digital signage. FSCOK has graphic design needs year-round with the number of projects increasing in the months leading up to the Soonercon convention.

Requirements:
Experience with and a subscription to Adobe Creative Cloud.

Website Designer

Responsibilities:
Collaborates closely with the Marketing, Communications and Website Development teams to make content updates to the Soonercon and FSCOK websites. FSCOK has web design needs year-round with the number of projects increasing in the months leading up to the Soonercon convention.

Basic training in editing content in WordPress using the DIVI theme will be provided for this position.

Requirements:
Experience with editing content on a wordpress website, experience working with other content management systems, OR a background graphic design and a willness to learn some WordPress skills. Experience with Adobe Creative Cloud is a plus, but not required.

Soonercon Promoter

Responsibilities:
Promotes Soonercon at other conventions and throughout the OKC Metro

Coordinates staffing for the Soonercon marketing table at other conventions and festivals. Coordinate volunteer efforts for flyer and poster distribution throughout the OKC metro.

This position supervises volunteers in the convention work area.

Operations

About the Team

This field encompasses the entire onsite assembly and execution of the convention. We monitor and maintain all the moving parts from start to finish.

Logistics Gopher

Responsibilities:
The Logistics Gopher is tasked with quick delivery and retrieval of supplies/equipment upon request. This position is done in shifts and must be available when called upon.

Lead AV Assistant

Responsibilities:
The main task of the Lead AV assistant is to receive directions from the AV manager of maintaining the AV equipment for the entire convention. This includes making sure the correct equipment is in the correct room. Making sure the equipment is operable. Troubleshooting the equipment if it is inoperable. Directing assistants to help with these tasks. Making sure equipment is taken care of and stored properly when done onsite. The Lead AV assistant will help in main programming and the Lead there to maintain a smooth-running main ballroom and to help provide breaks for those working in there. This is a shift work position.

Supervision:
This position supervises AV assistants.

Main Programming AV Tech

Responsibilities:
The main ballroom will require a technician to operate and maintain in working order the sound board and lighting system used for the guests presenting/performing in there. Technician should be well versed in a wide variety of audio setups and be proficient at trouble shooting in a timely manner. All tech needed will be known before the event but can be subject to change as guests/talent change their equipment often. Ideally this position will share time with the Lead AV assistant to give both positions time for breaks and convention going. The bulk of the operation will be the main programming leads’ responsibility.

Supervision:
This position supervises volunteers in the convention work area.

Medic

Responsibilities:
Field medics will work in rotating shifts to observe the convention and be available to administer medical aid to those who need it. Field medics will report to the Safety Manager at the start and end of their shift.

Medical and related supplies will be provided by FSCOK/Soonercon.

Requirements:
Volunteer must be either licensed paramedic, EMT, healthcare professional, military medic or be certified in lifesaving and related first response and aid training, and must verify this information with the Director of Operations.

Teamsters Manager

Responsibilities:
The Teamster Manager is tasked with executing the plan of loading in and out the entire convention. This plan is closely developed with the Director of Ops, AV Manager, Logistics Manager, and the Safety Manager. This is a physically grueling position that requires a lot of time commitment. This includes loading the convention into a moving truck the day before and coordinating the teamsters on load out day as well as the complete tear down and put up of convention back into the storage unit. This position lasts two days and the end time per day is undetermined. It’s a “we work till it’s done” as we don’t have additional time to space it out.

Supervision:
This position supervises teamsters.

Programming

About the Team

Panels, costuming, art show, workshops, performances, gaming, guests, musicians, idol contests, charity auction, film and anime screenings, karaoke and all the other fun con stuff in between make up Soonercon’s Programming department.

We are the team responsible for all the content development, guest booking and management, the con’s schedule and the overall convention experience. This cross-functional group works closely with each convention department to plan and produce the show. Let’s create together!

Anime Coordinator

Responsibilities:
The Anime Coordinator is primarily responsible for overseeing the development and onsite production of anime content for the convention and serves as a guest liaison with headline anime guests as needed. This includes: Contributing panel and workshop ideas, sharing insights and research on current anime trends and areas of interest for program development, providing scheduling recommendations, preparing the anime video screening schedule and ensuring all content is licensed and available for screening at the event, assisting with anime content production during the convention weekend, sourcing anime headline guests and panelists, serving as an anime headline guest liaison when applicable (see Special Guest Liaison role), and assists with sourcing sponsorships for anime content production needs like contest prizes, convention swag, anime films, etc.

Supervision:
This position supervises multiple roles.

Anime Content Contributor

Responsibilities:
The Anime Content Contributor is responsible for assisting with the development of anime content for the con. This includes: Contributing panel and workshop ideas, writing anime program content, sharing insights and research on current anime trends and related areas of interest for program development, providing scheduling recommendations, assisting Anime Coordinator with preparing the anime video screening schedule, and may assist with anime content production during the convention weekend as needed.

Costume Contest Stage Manager

Responsibilities:
The Costume Contest Stage Manager is responsible for overseeing convention costume contest backstage operations for the Masquerade Costume Contest and Children’s Costume Contest events, aiding the onsite production of costuming content for the con. This includes: Managing technical and logistical needs of contest productions, collaborating with the Costuming team on the preparation of costume contests schedules and production timelines, reporting any outages or equipment needs to Operations during events, assisting with contestant lineup, communicating with Costuming staff and completing cue calls for all contest program participants as required, assisting with organizing contest prize support and distribution as needed, checking on the costume contestant room and water service needs, facilitating a welcoming and inclusive competition environment, and promoting costuming at Soonercon.

Supervision:
This position supervises volunteers in the convention work area.

Film Screening Coordinator

Responsibilities:
The Film Screening Coordinator is responsible for assisting with scheduling and facilitating the screenings of fandom, STEAM, and related film content of interest at the convention. This includes: Contributing title suggestions for the preparation of the con’s films and shorts video screenings schedule (non-anime); engaging Oklahoma and regional filmmaking communities to source locally-made titles and panelist guests; securing licensing and screening requirements and communicating these to Director and Assistant Director of Programming; operating the projection and/or TV equipment during scheduled screenings at the convention (which may involve overseeing more than one video function space at a time) to ensure all screenings begin and end on time, reporting technical issues to the Operations team leads as soon as outage or issue occurs, and assisting with function space setups for video screenings spaces as needed. This position also helps secure convention sponsorships to facilitate film programming at SoonerCon.

This position supervises volunteers in the convention work area.

Onsite Gaming Coordinator

Responsibilities:
The Onsite Gaming Coordinator assists the Gaming Manager in the game room during the con weekend. This includes: Providing relief breaks for Gaming Manager and other Gaming staff (managing game room during those times); overseeing the game room customer service desk operations and directing room volunteers; assisting with room setups and breakdown; making in-room announcements; notifying Programming leadership of facility issues and water service needs; serving as an assistant to the Gaming Manager for facilitating game room’s scheduled events, supplies needs, sponsorship and prize coordination, and other duties as needed during the convention weekend.

Supervision:
This position supervises volunteers in the convention work area.

Shuttle Captain

Responsibilities:
Shuttle Captains conduct the transportation of programming guests. This convention hospitality role includes: Completing timely airport/bus/train/offsite pick-ups and drop-offs during the week of the convention and through the weekend as scheduled; immediately reporting any travel delays to Programming Director or Assistant Director and applicable Special Guest Liaisons and Director of Hotel Relations; assisting with the planning of the transportation schedule and securing appropriate vehicle needs.

Requirements:
Must be 18+ with valid US driver’s license and safe driving record, with customer service experience preferred. The position may occasionally require lifting luggage and other materials to assist these guests.

STEM Content Contributor

Responsibilities:
The STEM Content Contributor assists with the development of program content for the convention. This includes: Contributing panel and workshop ideas, writing program content, providing scheduling recommendations, sharing insights and research on STEM topic trends and areas of interest for program development, making panelist and headline guest recommendations (which may involve assisting with sourcing contact information for these), and assisting with content and schedule reviews/proofreading for print materials and web publication.

Video Gaming Coordinator

Responsibilities:
The Video Gaming Coordinator schedules and facilitates electronic gaming content for Soonercon’s game room and other spaces. This includes: Collaborating with the Gaming Manager and Programming leadership to develop a schedule of free play gaming and tournaments, overseeing tournament registration and prize distribution, engage with gaming and club community to facilitate supplies, prizes, and related needs for this content; recommends video/PC gaming guests and panel content; quickly reporting any equipment outages or issues to Operations, promoting the gaming events and convention, assisting with setups in gaming function spaces, sourcing sponsorships for prizes and related gaming supplies, and uplifting the positive community atmosphere of the game room.

Requirements:
This position may require cash handling experience.

This position supervises volunteers in the convention work area.

Video Room Coordinator

Responsibilities:
The Video Room Coordinator is responsible for overseeing the video room and facilitating its screening content during the convention. This includes: Contributing title suggestions and preparing the video screening schedule, sourcing videos, operating the projection and/or TV equipment during scheduled screenings to ensure all screenings begin and end on time as scheduled, reporting technical issues to the Operations team leads as soon as outage or issue occurs, assisting with setups and breakdowns for the video room space as needed, tidying the room between screenings and notifying Director of Hotel Relations of any housekeeping needs or room concerns. This Coordinator may serve as a keyholder for this function space. Note: The video room is located in a designated programming room on the hotel side of the con.

Supervision:
This position supervises volunteers in the convention work area.

Workshop Registration & Onsite Coordinator

Requirements:
The Workshop Registration & Onsite Coordinator collaborates with the Director of Registration and Programming team leadership to publish all scheduled workshop information and sign-ups prior to the convention (using Eventbrite and Soonercon website). During the convention, they ensure that paid workshop participants are checked into Eventbrite. They will also produce and distribute all class lists to workshop clinicians ahead of each scheduled session or as requested and communicate real-time seat openings to Registration and Programming Director/Assistant Director at Con HQ to fill vacancies by the start of the class period when possible. This Coordinator will also communicate with Programming volunteers and Operations team members during open workshop times to ensure all classrooms are pre-set with workshop’s supplies and AV resources as outlined in the Tech Schedule and facilitate any last-minute changes as needed.

Supervision:

Registration

About the Team

We are the first point of contact for all members when coming to Soonercon, and we want to make sure their experience starts off as great as possible! We are a team who loves to deliver an outstanding customer service experience.

Our team includes cash handling and inventory management roles in preparation for the event, and onsite roles in cashiering and membership check-in.

All volunteers in this team are required to have cash handling experience and will be trained on FSCOK’s cash handling policies in advance of Soonercon.

Cash Manager

Responsibilities:
Oversees cash counts for all cashiers; handles point-of-sale (POS) system setup and maintenance during event; oversees cashier schedule during event; directs cashier training.

This role supervises volunteers in the convention work area.

Convention Store Manager

Responsibilities:
Manages store inventory in point-of-sale (POS) system; separates Sponsor and Perk items from sales inventory before beginning of event; runs store during event.

Volunteers

About the Team

The Volunteer department works with all departments to make sure each area is staffed accordingly. Runs background checks on each volunteer and staff person. Makes volunteer schedule for Soonercon. Helps staff any promotional events we do.

Volunteer Registrar

Responsibilities:
Assists the Volunteer Coordinator for onsite check in and scheduling.
